An Open Letter To Our Clients:

 

                                    FOCUS Direct Mail Production Security

 

 

We are all too familiar with the recent events and subsequent news headlines that constantly remind our citizens about the cowardly terrorist attacks against the United States of America on September 11th.  Our country is at war with a new and different kind of “beast”.  These are fanatics who hide in the shadows, take advantage of our freedom and assault us in ways intended to drive fear into our hearts. 

 

Unfortunately, the murders in New York City and Washington D.C. were just the beginning as we have witnessed additional acts of sabotage and bio-agent threats that have been carried out by anti-American forces within our country.  Some of the actions have used our nation’s mail system to disseminate agents of mass destruction.

 

As a professional mail manufacturer, FOCUS Direct must take steps to assure the integrity and safety of the mail programs that we manufacture for our clients. 

 

To that point, our Company has historically had a high security facility.  Many of our financial institution and promotional clients require high security processes.  In response to our clients’ needs, we have made a significant investment to assure that our clients’ data and mail are not tampered with in any manner while within our direct control.

 

Our facility is on a nine-acre tract of land that we own.  We do not share space with any other company, thus we can control who comes on our property and certainly who enters our facility.  All entrances and loading docks are supervised during working hours and locked after hours.  Further, our facility is equipped with electronic surveillance cameras that are in operation 24 hours a day, seven days a week.  These closed circuit cameras monitor all visitor and employee entrances along with high traffic areas within the facility including the receiving and shipping areas.  Critical database management, programming, MIS, data entry, server, T1 connection and caging areas have key coded locks with different code numbers that are changed on a random basis.  Some areas also have higher security sections that include added features such as a walk-in safe and chain link storage locations.

 

All associates are required to wear photo ID badges and visitors are required to wear security badges.  In addition, all manufacturing associates wear Company uniforms.  Thus, it is rather easy to identify a visitor within our facility. 

 

All FTP data and database tapes go through a series of virus checks with VirusScan software that we license from McAfee ASaP.  In addition, we have 28 servers equipped with Cisco firewalls, many of which are independent operating systems.  In addition, all data files are backed up on a daily basis.

 

Since we are a fully self-contained manufacturing facility, we print and fabricate most of our products under one roof.  In cases where we receive client supplied components, we inspect them at the receiving dock before we dismiss the truck driver(s) who delivered the products.  In the rare instance when we outsource print, we send a FOCUS Direct associate to approve and supervise the off-site production.

 

In order to maintain high quality and reduce any chance of contaminating agents entering our Print Department, we manufacture our own inks from concentrates and have a built in water purification system to assure that the water we use meets the appropriate purification standards.

 

All work-in-process is managed and stored on site in our 1.3 million cubic foot Logistics Department.  All raw material and finished component inventory is bar coded and stored on site, as well.  Finished assembled mail programs are stacked from a conveyor system on to USPS destination delivery skids which are then entirely shrink-wrapped for security against the environment, in transit mishandling and potential tampering.

 

Our Company is one year into the renewal of a five year Detached Mail Entry Unit contract.  Thus, we have numerous USPS postal employees in our facility checking the quality of our mail and observing the loading of shipping trailers.  Once the trailers are loaded, they are security sealed by a postal associate to prevent tampering.

 

These security procedures have been in place for over five years.  We continually work at improving our systems and procedures so that we can assure our clients that we manage their mail programs with a highly sophisticated system of care, custody and control for the best security possible.
